Trainings Registration Process

Pre-Registration

Participants must complete the official registration form.

Pre-registration constitutes a serious intention to participate but does not yet constitute a binding contract.

Participants must accept these Terms and Conditions.

Participants may be added to a WhatsApp group or alternative communication channel for logistical and informational updates.

Course Confirmation

The course will be confirmed once the minimum number of participants is reached and no later than 21 calendar days before the scheduled start date for residential events. 

Upon confirmation:

  • An official email will be sent  
  • A deposit payment request will be issued:
    • 50 lei / 1 day event
    • 500 lei / 2-4 days events
    • 1000 lei / Longer events
  • The deposit must be paid within 7 calendar days

Failure to complete the deposit within this period results in automatic cancellation of the pre-registration.

Upon payment of the deposit, the registration becomes binding.

Final Payment

The remaining balance must be paid no later than 14 calendar days before the course start date.

Failure to complete the final payment within this period will be treated as cancellation.

Income-Based Pricing

The organization applies a solidarity pricing model based on income categories.

Participants choose among four income ranges at the time of registration.

The lowest category is described as “Price for participants facing financial difficulties.”

The selected category price remains fixed and does not fluctuate based on final participant numbers.

Exceptional Arrangements

Payment deadlines or participation conditions may be adjusted upon prior written agreement with the organizers.

Any such arrangement must be confirmed in writing before the relevant deadline and shall not constitute a general modification of these Terms and Conditions.

This provision allows for flexibility in specific situations while maintaining overall clarity and fairness.

Minimum Participant Threshold

Each course requires a minimum number of participants to be confirmed.

If the minimum threshold is not reached, the organization reserves the right to cancel or postpone the course.

In such cases, any payments made will be fully refunded.

Collective Impact and Philippe Coupé Scholarship

If participation reaches or exceeds 15 participants, one fully funded place will be offered under the “Philippe Coupé Scholarship,” supporting a participant who would otherwise not be able to attend.

In case of strong participation beyond the minimum threshold, the organization may consider offering an additional scholarship place and/or adjusting the final payment if financially possible.

Any such adjustment will be communicated before the final payment deadline.

Bundled Participation

Participants enrolling in multiple courses scheduled within a short time frame may benefit from a bundled participation adjustment.

This applies particularly to intensive sequences such as three consecutive trainings within a ten-day period.

Any bundle adjustment will be confirmed before payment confirmation and cannot be applied retroactively.

Group and Family Registrations

Participants registering as a group of friends or as members of the same family may benefit from a group adjustment, depending on the course and overall participation.

Group participation must be indicated at the time of pre-registration.

Any applicable adjustment will be confirmed before the payment deadline and cannot be applied retroactively.

Cancellation by Participant

Cancellation must be communicated in writing.

If cancellation occurs:

  • More than 30 calendar days before the course start date: the deposit is refundable, minus an administrative fee of 20%.
  • Between 30 and 14 calendar days before the course start date: the deposit is non-refundable
  • Less than 14 calendar days before the course start date: the full course fee is due

Participants may transfer their place to another person, subject to prior written approval.

Cancellation by the Organization

The organization reserves the right to cancel or postpone a course if:

  • The minimum number of participants is not reached
  • Force majeure circumstances occur
  • Serious unforeseen circumstances prevent delivery

In such cases, participants will receive a full refund of payments made. No additional compensation will be due.

Force Majeure

The organization shall not be held responsible for delays, changes, or cancellations resulting from circumstances beyond its control, including but not limited to natural disasters, public health restrictions, or other unforeseeable events.

Liability and Personal Responsibility

Participants attend courses at their own responsibility.

The organization cannot be held liable for:

  • Personal injury resulting from failure to follow instructions
  • Loss or damage of personal belongings
  • Incidents occurring outside structured course activities

Participants are responsible for ensuring they have appropriate health insurance coverage.

Code of Conduct

Participants agree to respect:

  • Internal rules
  • Other participants and facilitators
  • The land and infrastructure

The organization reserves the right to exclude any participant whose behavior seriously disrupts the course or compromises safety. In such cases, no refund will be issued.

Image and Media

Photos and videos may be taken during the course for documentation and communication purposes.

Participants who do not wish to appear in visual material must inform the organization in writing prior to the course.

Data Protection

Personal information collected during registration is used solely for organizational and communication purposes related to the course.

Data will not be shared with third parties without consent.
